This Privacy Policy explains how Runlinda Ltd (“Runlinda”, “we”, “us”) handles personal information when you visit runlinda.com, send an enquiry, book a room, dine with us, use the spa, or attend an event at Level 3, Chadstone Shopping Centre, 1341 Dandenong Road, Chadstone VIC 3148, Australia. We aim to meet the Australian Privacy Principles in the Privacy Act 1988 (Cth). This page is a working notice for guests and website users; it is not a substitute for legal advice. 1. Who we are
Runlinda Ltd is the company that operates the venue, restaurant, bar and spa on Level 3 at Chadstone. The postal and street address for privacy requests is the same as the venue. Email privacy requests to info@runlinda.com with the subject line “Privacy”. Telephone +61 3 9568 4400 during reception hours. If you write to us, include enough detail for us to find your record, such as the event date or the email used on the form.
2. Information we collect
We collect the details you type into enquiry forms: name, email, telephone, preferred date, guest numbers, dietary notes, and the message itself. When you book, we may also hold company name, billing address, payment references, and the names of coordinators you ask us to copy. At the door we may record a guest list supplied by the host. Spa bookings can include health notes you choose to give so a therapist can work safely. We do not ask for government identity numbers on the public website. If a supplier invoice includes personal data, we keep only what the invoice requires.
3. How we collect it
Most information comes straight from you: the website form, a phone call, an email, or a paper booking sheet at reception. Hosts sometimes send a guest list; we treat that list as the host’s responsibility to have collected fairly. Technical data such as browser type, pages viewed and approximate location can be created by the site and by cookies, as described in our Cookie Policy. We do not buy marketing lists. We do not scrape social profiles to build guest files.
4. Why we use it
We use personal information to answer enquiries, hold dates, issue contracts and invoices, plan menus, allocate rooms, and contact you if a time changes. We use contact details to send a confirmation and, if you ticked the optional box, occasional notes about seasonal packages. We use dietary and access notes only to run the event you booked. We use technical logs to keep the site working and to understand which pages are read. We do not sell personal information. We do not use it to build unrelated advertising profiles beyond what you agree in the cookie banner and this policy.
5. Legal bases and Australian law
For Australian residents we rely on the Privacy Act and the Australian Privacy Principles. That includes collecting only what we need for a booking or a lawful request, keeping it secure, and letting you access or correct it. If you are in a region that speaks about “consent” or “legitimate interests”, treat a submitted form as a request to be contacted about that enquiry, and treat optional marketing as consent you can withdraw. We may also keep records because Victorian liquor licensing, food safety and tax rules require a paper trail for a set period.
6. Who we share it with
We share details with staff who need them to run the room: coordinators, chefs, spa therapists and night managers. We may share a first name and dietary note with a hired florist or band if you have asked us to brief them. Payment processors see billing data when you pay a deposit. Chadstone centre management may receive load-in names for dock security. We may disclose information if a court or regulator lawfully requires it, or to protect a person from serious harm. We do not share guest lists with other clients.
7. Overseas disclosure
Our email and website hosting may store copies on servers outside Australia. When that happens we take steps that are reasonable in the circumstances to keep the information protected, such as using providers that publish security standards and access controls. We will not send a guest list overseas for marketing. If a specific transfer needs your agreement, we will say so at the time we ask.
8. How long we keep records
Enquiry forms that do not become a booking are kept for up to twenty-four months so we can restart a conversation if you write again. Contracts, invoices and dietary sheets for completed events are kept for at least seven years where tax or licensing rules require it, then destroyed or de-identified. Spa health notes are kept only as long as needed for that course of treatments unless a longer legal duty applies. Server logs are rotated on a shorter cycle. When a record is no longer needed we delete files or strip names from statistics.
9. Security
Access to booking software is limited to named staff with individual logins. Paper run sheets are stored in the events office, not on the restaurant pass. The public website is served over encrypted connections where the host allows. No method of transmission is perfect. If we become aware of a data breach that is likely to cause serious harm, we will follow the Notifiable Data Breaches scheme and contact affected people and the Office of the Australian Information Commissioner as required.
10. Cookies and similar tools
The site uses cookies and localStorage, including a key named cookie_consent that remembers whether you accepted or closed the banner. Essential cookies keep the site usable. Analytics and marketing tools, if switched on after you accept, help us see which pages are read. You can refuse non-essential cookies by using the banner controls and by changing your browser settings. The Cookie Policy lists categories in more detail. Turning cookies off may hide the banner again on a new device because that choice is stored locally.
11. Your rights
You can ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to stop optional marketing. You can withdraw marketing consent by emailing info@runlinda.com. You can request deletion where the law allows; we may retain what invoices and licences still need. If you believe we have mishandled information, write to us first so we can investigate. You may also complain to the Office of the Australian Information Commissioner (OAIC). We will not charge a fee for a simple access request; a large archive search may incur a reasonable cost that we will quote first.
12. Children and family events
The website and evening dance programmes that are sold as 18+ are not aimed at children. Family weddings and daytime events may include minors. We collect a child’s name on a guest list only when the host supplies it. We do not knowingly market to children. If you believe we hold a child’s information without a proper reason, contact us and we will review the record.
13. Other websites
Pages on runlinda.com may link to maps, transport sites, or supplier pages. Those sites have their own privacy notices. We are not responsible for how they collect information. Read their policies before you submit details on a third-party form.
14. Changes to this policy
We may update this Privacy Policy when the law, the venue systems, or the way we take bookings changes. The new text will carry a new date at the top of this page. Continued use of the site after an update means you should read the revised notice. Material changes that affect how we use existing records will be highlighted on this page and, where we still hold an email for a live booking, we will send a short note.
